JOB DESCRIPTION JOB TITLE: Accounts Receivable Specialist DEPARTMENT: Finance SUPERVISED BY: Controller # OF DIRECT REPORTS: N/A STATUS: Non-exempt HOURS: Part-Time; 20-25 hours/week; approximately 11:00am-3:00pm POSITION SUMMARY The Accounts Receivable Specialist is primarily responsible for coordinating the day to day activities for accounts receivable, donations, and customer service for our agency partners. The Specialist also maintains a reconciled audit trail of all accounting entries related to such transactions DUTIES AND RESPONSIBILITIES • Donation Receipts o Generate daily deposits of donations received directly through the mail, lockbox, and investment accounts. o Create transfer deposits for lockbox, and other accounts as directed by Controller. o Create deposits for electronic payments from donors, including credit cards, ACH/EFT, etc. • Accounts Receivable o Post daily agency invoices o Create deposits for payments from agencies including check, credit cards. o Create deposits for trade receivables, including merchandise sales. o Maintain reconciled agency and contractual accounts by applying associated payments and credits. o Respond to billing-related inquiries from agencies and internal departments, and resolve issues arising from such inquiries, including: Duplicate document requests Account hold issues Account reconciliation assistance o Create miscellaneous receivable invoices and credit memos for internal department transactions and other adjustments as directed. • Other o Work constructively with other departments to meet internal reporting requirements. o Provide backup support to other Finance department members. o Assist in annual audit. o Train interns as needed. o Other duties as assigned. QUALIFICATIONS • A combination of education and experience generally attained through 2+ years post-secondary accounting education or equivalent experience with 1-year experience in accounting preferred. • Excellent oral and written communication skills • Demonstrated exceptional customer service skills to create a welcoming and inclusive environment where everyone is welcomed and valued. • Demonstrated familiarity with Microsoft Office, Office 365 and the ability to learn other computer software programs. • Ability to work with flexibility, efficiency and enthusiasm, both individually and as part of a team in a fast-paced, high-demand environment. • Demonstrated ability to plan, manage and follow through on multiple daily tasks and projects. • Ability to reconcile assigned balance sheet accounts monthly. • Demonstrated ability to keep accounts kept up-to-date and communicate regularly.
